General Booking and Usage Terms for Facilities
Aalto2 allows the rental and booking of facilities for use by companies, associations, and private individuals. We adhere to the following terms for facility reservations, which may be supplemented with facility-specific conditions.
- The person booking the facility is responsible for its use. The booker must be an adult.
- Booking a facility requires the provision of the booker’s contact information.
- Events held in Aalto2 Museum Center facilities must not disturb museum operations, customers, or users. Events that generate noise or disruption must be agreed upon separately with the facility manager and, if necessary, authorities.
- Bringing candles into the museum center facilities is prohibited. LED candles are permitted and are also available from the museum center.
- Visiting exhibitions is not automatically included in the facility booking and must be agreed upon separately.
- Bringing food or beverages outside the reserved area is prohibited.
- The content or nature of an event held in the Aalto2 Museum Center facilities must not conflict with Finnish laws, the city’s equality and non-discrimination plan, or good manners. Facilities will not be rented for racist or discriminatory activities. The booker agrees to comply with the prevailing safe space principles.
- The museum center has the right, if necessary and at its discretion, to deny the booker access to the facility or interrupt the event if it is found that the aforementioned rules are being violated or have been violated.
- The booker will receive confirmation of their booking once it has been approved.
- The maximum occupancy limit of the facility must not be exceeded.
- Aalto2 Café arranges meeting refreshments, meals, and other catering according to the client’s wishes. Bringing your own food or beverages is prohibited, except for packaged dry products such as cookies and chips.
- Private events may also be organized outside the museum center’s opening hours, in which case a service fee will be added to the facility rental cost.
- For reservations of paid facilities and additional services, billing information is always required from the booker. The facility rental fee and any additional costs incurred from the reservation are paid afterward via invoice. Value-added tax (VAT) of 25.5% will be added to the total amount for VAT-liable entities.
- Any costs arising from usage beyond the defined reservation (e.g., security, organization, or cleaning costs) will be charged to the booker.
- A confirmed booking can be canceled free of charge no later than seven days before the event. For reservations exceeding 60 people, the cancellation period is 28 days. No refunds will be made for unfulfilled reservations.
- The reservation price is determined by the current price list. The facility price is stated in the property details. The booker agrees to adhere to the agreed schedule and is responsible for any costs incurred from exceeding the allotted time.
- Access to the facility will be arranged by the customer service representative as agreed. Access rights may not be transferred to outsiders.
- The reserved facility, including its furniture, is available to the booker for the duration specified in the reservation. The booker may use the equipment mentioned in the facility description. Free internet access is available in our facilities.
- Facilities must be left in the same condition as they were at the start of the rental. Any agreed-upon preparations or final cleaning will be handled by the museum center as agreed.
- Facility safety instructions must be followed. In an emergency, we follow staff evacuation instructions.
- The booker is liable for compensation if facility users cause damage to the property or equipment. Any damages must be reported immediately to the facility contact person.
